Each field name should have one meaning only. If owner means the support agent in one place and the account manager in another, confusion is guaranteed. Split them into clearer names such as support_agent and account_manager.

When a name could still be read in two ways, add an example value in the dictionary. That small detail saves time. For example:

  • customer_type - Example: business, individual
  • order_total - Example: 149.99
  • first_response_at - Example: 2026-03-08 09:30 UTC

A simple field naming standard is usually enough:

  • Use full words when possible.
  • Keep the same term for the same thing everywhere.
  • Prefer business words over internal jargon.
  • Make time and date fields obvious, such as created_at or closed_date.
  • Add an example value when a field might be misunderstood.

Define statuses by real work

Statuses sound simple until two people use the same word in different ways. One person says "Resolved" when the customer has a fix. Another uses it when the team has only found the cause. That small gap creates bad reports, confused handoffs, and unnecessary follow-up.

A good rule is to define each status in terms of real work, not vague intent. Every status should answer one plain question: what is true right now? If the answer is not obvious from daily work, the status needs a better name or a clearer definition.

For each status, write down its meaning in plain language, when it should be used, what must happen before it can be selected, whether it is a final status, and who is allowed to change it.

The biggest check is overlap. If "In Review" and "Pending Approval" can both describe the same record at the same moment, people will choose randomly. That makes reports unreliable. Each status should mark one distinct point in the process.

Final statuses need extra care. Mark them clearly so everyone knows the work has stopped or reached an end state. Common final statuses include "Completed," "Canceled," and "Rejected." If a record can be reopened later, note that too. Final does not always mean permanent.

Ownership matters as much as meaning. Some statuses should only be changed by a manager, support lead, or system rule. If anyone can change any status, the process drifts quickly.

A small example helps. In a support app, "Waiting for Customer" should mean the team has already replied and cannot move forward until the customer answers. It should not be used when the team is still investigating internally. That second case needs a different status, such as "In Progress."

If people can read a status definition and make the same choice every time, your status naming examples are doing their job.

Then be exact about what gets counted. Say which records belong in the number and which do not. If reopened tickets are not treated as resolved, say that clearly. If spam tickets, test tickets, or merged duplicates are removed from the count, note that too.

The time period matters just as much as the formula. "Monthly resolution rate" should say whether it means a calendar month, the last 30 days, or a custom reporting window. Those are not the same thing.

Refresh timing also needs a plain note. A dashboard that updates every hour should not be read like a live counter. A short line such as "Refreshes every 60 minutes" prevents bad decisions.

Example: a simple customer support dictionary

Start with one field that shows up across the whole app: ticket_status. This exact name should stay the same in the database, forms, filters, dashboards, and handoff notes. If one screen says "Resolved" and another says "Done," people start guessing.

A clean status set might look like this:

  • Waiting: The team replied or needs something before they can continue
  • Resolved: The team believes the issue is fixed and no more action is needed right now

The important part is the rule behind the label. A ticket should move to Resolved only after the team provides an answer or fix. It should move to Closed only after the case is fully wrapped up, such as after a waiting period or final review.

Now add one metric people often argue about: first_response_time. Define it as the time between ticket creation and the first human reply from the support team. To keep it trustworthy, exclude spam, duplicate, and test tickets. Also decide whether automated messages count. In most teams, they should not.

Priority should be simple enough that anyone can choose it the same way:

  • High: The customer cannot use an important feature
  • Medium: Work is blocked, but there is a workaround

One common problem is using labels that sound close but mean different things. A support team might use "Closed" to mean the ticket is finished, while another person uses "Resolved" for the same idea. If both show up in reports, people stop trusting what they see.

Another issue is leaving formulas half-defined. A metric like "active customers" sounds clear until someone asks, "Active in the last 7 days, 30 days, or this month?" If the formula, time window, and exclusions are not written down, every dashboard owner may calculate it a little differently.

Edge cases are often skipped because they seem rare, but rare cases are where disagreements show up first. If a refund happens after a sale, does that change the revenue metric for the original month or the current month? One short example in the dictionary can prevent long debates later.

A very practical mistake is changing a name in the app but not in the document. If a builder updates a field from "Client Type" to "Account Segment," the dictionary needs the same update right away.

Ownership is another weak spot. When everyone can edit the document but no one is clearly responsible for it, it slowly fills with duplicates, old terms, and notes that contradict each other. Then people start making private copies, and drift gets worse.
